Set up Instagram DM automation for salon enquiries: prepare services, publish reply rules, check availability and test booking requests in Mecan Desk.

Instagram DM automation lets software answer incoming messages for you. If you take salon bookings through Instagram, it can help with the price questions and scheduling back-and-forth you keep typing out. With access to your service menu and calendar, an assistant can also check times and collect booking requests.

Think about a message like “How much is a cut, and do you have anything on Friday?” You need to explain the service, look at your calendar and get a few details before you can book them in. Those are the steps worth automating.

What can Instagram DM automation do for a salon?

It depends on the tool you use. A simple automatic reply might send your opening hours or a booking link. An assistant with access to your booking information can answer follow-up questions and help the client choose a time.

These are the main options:

Saved replies are a good place to start if writing the same answer is your main frustration. You can copy ours from the Instagram DM template library.

Answer questions and collect requests inside Instagram

Take that “How much is a cut, and do you have anything on Friday?” message. The Instagram agent can check which service the client wants, answer from your service menu and look for available times in your Mecan calendar.

Once the client chooses a time, it asks for any missing details, such as their name and phone number. It checks that they agree to the service, price and time, then submits a booking request. They can complete those steps in the DM conversation without filling everything out again on a separate page.

You set the assistant’s tone and reply rules, including when it should bring a question to you. You can turn automatic replies off whenever you need to.

Some clients already know what they want and would rather pick a time themselves. Desk includes a public booking page with your services and available appointments. Share the link in your Instagram bio or send it in a message.

The page lets clients choose a service and time, add their details and submit a request. They can use either the page or DMs; there’s no need to do both. Both routes can accept requests outside your opening hours, while the appointment times follow your availability.

Keep requests and appointments in one calendar

Requests from Instagram and your booking page go into the same Mecan calendar. You can review them alongside existing appointments, add bookings yourself and block time off.

Every request needs your approval before it’s confirmed. After you approve it, Desk sends a booking confirmation to the client. If an Instagram enquiry needs a personal answer, owner alerts can let you know when you’ve set up notifications.

See where your bookings come from

Desk’s booking insights show the sources recorded for your bookings, including Instagram, Google, manual entries and direct or unknown sources. You can see booking counts and their listed service value by source. That value is based on service prices; it isn’t a record of payments collected.

This gives you a way to review the booking activity coming through Instagram alongside your other sources.

What should you leave to yourself?

You know when a client’s question needs a proper conversation. A colour correction, a complaint or a request to assess a photo can need your experience before you offer a service or price.

Give the assistant clear instructions to pass those questions to you. Do the same for exceptions to your booking policy and changes to existing appointments. Desk’s assistant can’t interpret photos, reschedule appointments or cancel them for you.

Routine price questions are different. If the service and price are in your menu, the assistant has something concrete to answer with. When the information is missing, it should ask a useful question or leave the enquiry for you, rather than make up an answer.

How to set up Instagram DM automation

Start with your service menu and calendar, then connect Instagram and write your reply rules. Once you’ve switched replies on, try a few conversations yourself. We’ll use Mecan Desk for the steps below.

Get these three things ready first: your services, your availability and the rules for replying to clients.

1. Get your service menu and calendar ready

Open Settings → Business and check your address and contact details. In Services, review the names, prices and durations of the appointments you offer.

Make service names easy to choose from. If a cut and a cut with a blow-dry are different appointments, explain the difference. Allow enough time for each service so the assistant can find a gap that fits.

Next, open Settings → Availability. Check your time zone, operating days and hours. If you see one client at a time, set your appointment capacity to one. Mecan uses the same opening hours for each operating day you select.

Add existing appointments and block off time you can’t offer in Bookings. Desk doesn’t sync with another calendar or POS system, so anything booked elsewhere needs to go into Mecan too.

2. Connect your Instagram account

Go to Settings → Integrations and choose Connect Instagram. Connect the Business or Creator account your clients message, and follow the steps to allow messaging access.

When you’re back in Mecan, check the username and look for Connected. If it says Reconnect needed, sort that out before moving on.

3. Tell the assistant how you want to reply

Open Instagram DM Agent. You can describe your preferences in the setup chat or choose Write rules in the Reply rules panel.

Write the way you’d explain the job to someone helping with your inbox. Tell them how you talk to clients, which policies to explain and when to come to you.

For example, you could start with:

Keep replies friendly and brief. Answer the client’s question, then ask for the next detail you need.

Use my service menu for prices and appointment lengths. If you’re unsure which service someone wants, ask before offering a time.

Pass colour corrections, photo assessments, complaints and changes to existing appointments to me.

My booking policy is: [add your policy]. Ask me about exceptions or anything the policy doesn’t cover.

Before sending a booking request, check that the client agrees to the service, price, date and time. Let them know I’ll still need to approve it.

Replace the bracketed text with your own policy. Keep prices in your service menu so you don’t have to update them in several places. And only promise a personal reply within a certain time if you can stick to it.

4. Publish your rules and switch replies on

Choose Save draft if you’ve edited the rules directly, then Publish changes. The Published tab shows the rules the assistant will use. Saving a draft alone won’t update customer replies.

Once Instagram is connected and your rules are published, use the switch at the top of Instagram DM Agent. The label should read Agent enabled.

Choose a time when you can keep an eye on the inbox. Switching it on lets the assistant reply to real incoming messages as well as the ones you send to try it out.

Try it from a client’s side

Use another Instagram account you control and send a few messages you’d expect from a client. The setup chat in Mecan is for writing rules; you’ll see the customer experience in Instagram itself.

Ask the price of a listed service, then ask about a time you’ve blocked off. Check that the price is right and the assistant offers times you can actually take.

Next, try making a request. Leave out your phone number at first and see whether it asks for the missing details, including your country code. Use your own contact information. Before submitting, it should check that you agree to the service, price and time.

Open Bookings and look for the request. In Mecan Desk, submitting a request holds that space in the calendar while it waits for your approval. Simply suggesting a time doesn’t hold it. Check that the reply says the request is awaiting approval, then approve it and check the confirmed status. Remove the test appointment afterwards.

Finish by asking to speak to the owner or move an existing appointment. That should bring the conversation to you and pause automatic replies. Do this last or use a different account for later checks.

If something looks wrong, turn the assistant off while you fix it. Start with the service details for a wrong price, the calendar settings for a wrong time, or the published rules for a policy answer. Then try that conversation again.

How will you know when someone needs you?

When Desk passes a conversation to you, it pauses replies for 24 hours and queues an alert if you’ve set up owner notifications. It doesn’t send the client a message as part of that handoff, so you’ll need to open Instagram and reply yourself.

To receive alerts, set up and verify your notification phone in Settings → Account. Try asking for the owner from your other account and check that the alert reaches you.

Keep your replies up to date

Change a price? Update the service menu. Take a day off? Block it in the calendar. Change your booking policy? Edit your rules and publish them again.

Read through the first few days of conversations. If clients keep mixing up two services, make the names clearer. If the assistant keeps asking the same awkward question, check whether your business information is missing a detail.
